· Who will we call for problems with using the system?
· Building Coaches – there will be a trained coach at each building designated by the Principals to assist staff in their building
· Help Desk Staff will be trained and available
· Key TAC Personnel including key Human Resource staff
· What help will be available after training?
· The ePLUS Trainers will continue to be available (i.e. Building Coaches, Building Techs, Help Desk, specific TAC & HR Staff)
· Continual training will be offered, online tutorials will be available, and training materials will be readily available on line.
· How many passwords will we have to remember?
· The development team is working towards a single password
· A Unique UserID will be created for each INDIVIDUAL employee, you will then create a unique PASSWORD.
**Never share your UserID / password with another person, this would be a breach of OPS security policy, and allows others to access your personal information.
· How will the look change?
· The appearance will be very similar to the current People Soft
· The portal page (sign in) will display a photo banner which will uniquely identify where you are in the system.
· Can system be accessed from home?
· Not at this time. The security of your profile, work related information i.e. job data, salary, compensation and benefits information, and now performance appraisals are of high priority. For the greatest protection of this data accessibility will remain behind the secure firewalls of the OPS network.
· Can we access it outside school hours?
· Yes, the system will be accessible outside of school hours (approximately 6 am to 10 pm), but only within the safe firewalls of OPS business computers
· How secure is the technology?
· The servers that hold your data will be secured using industry standards for securing hardware as well as Oracle's recommendations for a secure system configuration.
· For the greatest protection of this data, accessibility will remain behind the secure firewalls of the OPS network.
· What if I don’t have access to a computer?
· Kiosks and designated computers will be available across the District. Arrangements are being made so that all employees without job related access to computers will have a computer available to them to update their profile as needed, as well as participating in the on-line performance appraisal process.
· Kiosks will be set up in Transportation, TAC Application Center, strategic places throughout the District, for example: Cafeteria Manager & Head Custodian computers will be utilized for café staff and custodial staff whose jobs do not directly relate to computer work.
· What is the rollout date for this project?
· Fall 2010 we will go-live with eProfile, eProfile Desktop Manager, eDevelopment and TAM/CG – Talent Acquisition/Candidate Gateway
· ePerformance (the appraisal module) will go live in 2011-12 for all employees
· Will classified staff be able to use eDevelopment?
· eDevelopment will provide a place for all employees to update their education, professional development/training courses, licenses and certification, honors and awards, and languages.
· Will there be a pilot?
· Yes, we will pilot for ePerformance – appraisal module in the Fall of 2010 for Principal appraisal, this allow ample time to train all staff in the new appraisal processes.
· Can principals download prior observation information into the ePlus system?
· No. Academic Year 2011-12 will begin the process of electronic storage of appraisal information, prior year information will be retained in paper format.
· Is it possible to export information from ePlus into Excels?
· For appropriate personnel with security access to the query functionality, and the appropriate tables, needed information can be queried and down loaded to Excel. The information being loaded into these modules through self-service are secured for Human Resource access.
· Will it work with a Mac?
· Yes, Macs cannot run Internet Explorer, as long as the PeopleSoft application can be accessed with Safari, Firefox or Camino browsers, nothing will need to be done to the Macs to effectively run the PeopleSoft applications.
· Will the job opening requisition pull current information into the page format, such as name, present location, budget string, etc.?
· The job opening requisition is driven by position management, in most cases. Each employee has a position they are associated to with respect to location, job type, FTE, funding string etc. The job opening requisition asks for this position number, this will populate most of the valuable information needed for the approval process as well as creating the job posting. There is a create feature, you would have to know all the values separately and fill those in individually, but the approval process would be the same.
· If one person starts a requisition can others work on same job opening requisition?
· Everything has security access associated with specific roles, if someone with the security role begins the job opening requisition and saves it as “Draft”, then the approver can go back into that job opening requisition to complete/approve. For example: Administrative Assistant begins the job opening requisition, saves it as draft – the Principal would sign in, validate the information and the budget string, approve, save and submit.
· Will the application center and Job Hotline continue?
· Yes, the application center will be equipped with kiosks, and a trained assistant.
· Yes, the job hotline will continue, as well the jobs will be posted on-line on the website for easy access.
· Will Career Link still be in place?
· Yes we will still be posting specific jobs through the Career link, as you begin the application process through CareerLink it will bring you back to the OPS through OPS Candidate Gateway, directly to the posting you are applying for.
· Internal postings will be accessible through the OPS website and in various other electronic formats. Internal applicants will access Talent Acquisition
· Management (TAM) through self-service on the PeopleSoft menu.
· Administrative applications online?
· All application processes will be online through the Talent Acquisition Management/Candidate Gateway (TAM/CG) for internal and external postings.
· Can applicants retrieve their application to update their file?
· Internal applicants will enter using their unique UserID and password – going through self-service to Careers to re-access their applicant profile or apply for an open position
· External applicants will first register with OPS to obtain a UserID and password, and will use this UserID and password for re-entering the site to update their profile or apply for any current openings
· Is there a Spell check and grammar check?
· Spell check is an available functionality if the page you are on has a spell check icon
